Why does my PDF print too light?

It is one of the most common and most frustrating printing problems, partly because the document looks perfectly acceptable right up until the moment it lands in the output tray.

The reason is not mysterious, and once you understand it the fix becomes obvious.

Screens emit light, paper does not

A monitor is an emissive display. Its white is a light source pointed at your eye, and against that bright field a grey shape looks convincingly dark. Your visual system judges contrast relative to the surroundings, and a backlit surround is very flattering to weak contrast.

Paper is reflective. Its brightest possible white is whatever the room lighting gives it, and its darkest black is however much toner or ink the printer laid down. The available range is smaller and the surround is not lit, so the same 45% grey that read as "dark enough" on screen now reads as, correctly, grey.

This is why a document can look completely fine on screen and disappoint on paper without anything being wrong with the printer.

The four real causes

  • The ink in the file is not black. Very common in scans, where "black" text is captured somewhere in the 120–170 range, and in design exports where body text was set to a 60–70% grey.
  • The paper in the file is not white. A scan of an off-white or ageing page records that colour, and the printer faithfully reproduces it, so the whole page arrives with a grey wash that eats what little contrast there was.
  • The font is too thin. A hairline typeface is smoothed and thickened by screen anti-aliasing. A printer has no such trick: it lays down a genuinely thin line of toner, which looks grey at arm's length.
  • The printer is lightening on purpose. Toner-save, eco and draft modes exist to use less consumable, and they do that by printing lighter. Many office printers ship with one of them enabled.

A thirty-second diagnosis

  1. Print a page of a different document that you know prints well.
  2. Both faint? The printer is the problem. Check toner-save mode, the cartridge level and the density setting before touching any file.
  3. Only the original faint? The file is the problem. Continue.
  4. Open the file and zoom to 400%. Grey text means a colour problem — darkening fixes it.
  5. Black but very thin text means a weight problem — the Thicken thin text option targets exactly that case.

Why "print as image" is usually the wrong answer

It is a popular suggestion on support forums, and it does occasionally help when a printer driver mishandles transparency. But it rasterises everything at the driver's chosen resolution, which normally makes text softer, not darker. If the underlying problem is that the ink is grey, printing it as an image prints the same grey.

Fixing the file is the durable fix

Printer settings are per-printer and per-driver. If you send the document to a colleague, or print it somewhere else next month, you will have the same conversation again.

Why does the same PDF print fine at work and faint at home?

Different printers, different drivers, different consumables. A marginal document sits close to the threshold where those differences matter; a properly darkened one has enough margin to survive both.

Could the PDF viewer be the problem?

Occasionally. Some viewers apply their own scaling or "print as image" defaults. If one viewer prints noticeably worse than another, check its print dialog for those options.
